We read accounts, licenses, sign-ins and the usage reports of your Microsoft 365 environment. Afterwards each account with a paid license has a recommendation and a reason in a list you can filter in Excel.

Disabled accounts with a license, accounts without a sign-in for more than 90 days or none at all, Office used only in the browser or on the phone, shared mailboxes that need no license up to 50 GB without an archive, and licenses whose services are already included in another one.
Sign-in activity from Microsoft Entra ID, the usage reports from the Microsoft 365 admin center, license assignments and the mailbox type. Microsoft only provides sign-in times with Microsoft Entra ID P1 or P2. If sign-in logs are kept in long-term storage (Log Analytics), the history reaches back up to two years. Without it, the history covers 30 days.
The analysis processes personal data. We agree on the purpose, who has access and the deletion period with you beforehand, with the works council where needed. To show usage per person, the names in the usage reports must be visible.
License counts can usually only be reduced at renewal. Higher prices for the Microsoft 365 suites have applied since 1 July 2026, for existing customers from the first renewal after that date. So you need the list before your next renewal date.
Today we deliver the license analysis as a list with a reason per account, without euro amounts. A dedicated view in the app is in progress. We do not change licenses or accounts.
